Comment(s): Living Memorial Park Kiwanis ShelterAbout the Facility 1. Located at 61 Guilford Street, Brattleboro Vermont. The Kiwanis Shelter is located at the very top of the hill. Parking is limited.2. This facility has a bathroom, a small kitchen sink with running water, a fridge/freezer, and two large charcoal grill pits. Please note that charcoal and cooking/grilling supplies are not provided.Our facilities, which are obtained through public, (local, state, and in some instances federal) funds, clearly belong to the people within the community. The times that our facilities lie idle represents no return on the public’s investment of funds, time, and energy. The more use our facilities receive, the better return on the investment. The primary purpose of the Recreation & Parks facilities is to provide recreation opportunities for the Community of Brattleboro. Such usage will be given first priority. The Recreation & Parks Director is authorized to approve and schedule the use of the Recreation & Parks Department’s facilities by community organizations, groups, and individuals. When necessary, any approval may be rescinded when it conflicts with the Recreation & Parks programming, or if sufficient support of personnel cannot be secured. Alcohol is not allowed on Town property. However, permitted events can obtain approval to serve alcohol on Town property, if the following additional procedures are satisfied. The permittee shall hire an approved and licensed caterer to provide the alcohol at an event. (You cannot bring along a keg and have a party) The caterer will need to apply for an off-site catering license through the Town Clerk. If you are planning to serve onsite catered beer, wine, or food, you must hire a caterer with an off-site catering license. Your caterer must be in possession of all the appropriate licenses, i.e. 1st, 3rd Class, and Catering License. It is recommended you allow 2-3 weeks for all approvals to be obtained. Your caterer must submit a Catering Request through the Town Clerk’s Office and this request must be accompanied by a diagram/drawing of the area where the alcohol is being served and the boundaries in the area are specifically designated. The drawing/diagram must show the entrance/exits as well as the bathrooms/portable toilets. In addition, the Caterer shall submit a copy of all valid liquor licenses, approved catering permits, and all other documents as required by the Town, which includes a Certificate of Insurance (naming the Town of Brattleboro as additionally Insured) along with a completed copy of the Rental Request form to the Recreation and Parks Department. The Recreation & Parks Director is authorized to deny any application for the use of Recreation & Parks facilities for any activity that, in the director’s judgment, is not in accordance with the philosophy and purpose of the Recreation & Parks facilities, or which incurs excessive wear and tear of Town property.General Rental Procedures 1. Requests for dates and an application should be made to the Brattleboro Recreation & Parks Department Office by calling 802-254-5808 or emailing [email protected].2. Applications will be processed for approval or denial, and applicants will be notified of acceptance or denial. 3. Priority will be given to requests in the order they are received. 4. Applicants will be responsible for filling out an Open-Air Permit as required. Any group attracting more than 40 people (Exception – Kiwanis Shelter Rentals) will be required to obtain an Open-Air Permit with the Town Manager's Office. Caterers Permit or a Special Events Permit need to be obtained if catered beer or wine will be served. 5. Events attracting more than 40 people may necessitate having a police officer on duty at the expense of the user to assist with traffic control. (Exception – Kiwanis Shelter Rentals) 6. Applicants must show Proof of Liability Insurance (as necessary). 7. All street entertainers must abide by the town of Brattleboro Street Entertainment Rules and Regulations which can be obtained from the Town Managers Office. 8. Rental Payment will be due 7 days prior to the date of the scheduled event. 9. In the event of a cancellation by the user, the user may be accountable for the agreed-upon fees. 10. A separate $75.00 Maintenance/Key Deposit is required and will be returned when the key is returned to the Recreation and Parks Department Main Office and the facility is found to be left in the manner as rented. This deposit is separate from any rental fees and a separate form of payment is requested. Please note that if your facility requires a key, it is your responsibility to pick up the key (if needed) prior to your event at the Recreation and Parks Department Main Office located at 207 Main Street Monday-Friday 9 a.m. to 4:30 p.m. The office is not open on weekends. General Rental Facilities Rules & Regulations1. No illegal drugs are permitted on Town Property.2. No Alcoholic Beverages are allowed on Town premises. Event organizers may obtain approval to serve catered beer or wine through the Town Clerks' Office. Please plan ahead to allow for all permits to be approved at 802-254-4541. 3. No Fires. No wood-fired- Charcoal fires only4. No overnight camping. 5. Pets must be leashed at all times. 6. Offensive or crude behavior will not be tolerated. 7. Music with prior approval only. 8. No music between the hours of 9:00 p.m. and 9:00 a.m. 9. Users are expected to leave the area as clean as they find it. Please retain a copy of this agreement and bring it with you on the day of your event. It serves as your confirmation.
